BBBM does not have a feature that allows us to issue receipts for tax purposes. The current statement builder does not work, as we need to filter payments for specific charges and exclude some fees. The only other option at the moment is to export payments and manually manipulate the data, this is incredibly time consuming as there are thousands of lines of data and also allows for human error. We need the following items on our receipts for tax purposes (we are a Canadian school):
School name / education number
Student name and birth date
Parent/payee name and address
List of payments submitted in the calendar year (for tuition only - additional fees should be excluded)
Payment total
For our students in Year 1-8, we need to note that 25% of the payment total may be considered childcare for tax purposes.
I would love to hear from any other Ontario/Canadian schools that issue tax receipts and how they are managing this currently. Thank you.
This morning, we shipped the Payment applications export found under Reporting. The export can be filtered by date range and fee type and will provide all payment/portions of payments applied to those specific fees. The export can then be used to create a Word merge letter/receipt.
Students list can be generated with students' names, DOB, parent addresses. For child care receipts purpose, we need to include current students, past students and/or alumni that are under 16 years of age during the tax year. We need to be able to filter the date of birth field in the students list. DOB cannot be filtered in the current setup.
