Financial Obligation

The administrators at Campbell Hall have asked that we get an enhancement into Enrollment Management during the contract process.  Like many schools, Campbell Hall requires 2 signatures for each student. The issue that they run into is that their payers where only 1 of the 2 signers has financial obligations.  With these families, the issue is that the payers who have no financial obligation to make payments , have access to the Smart Tuition account for the payer who has the financial obligation,  and  they really should not, and is exposing payment information to the party that should have no access.  We all agree that the payer who should not have access, cannot see saved payment methods, but they can use that payment method to make payments, and can call Smart, and we will assist them as their names are on the account. 


As BBBM is not going to be ready for a few more years, I am submitting for an enhancement. This request is  for the development of some sort of toggle button that when the payers are completing the contract for “ Responsible for Paying”  if they hit “yes”, they move onto  the payment plan options, and deposit .  If they hit “no” they would sign their contract and not move to the payment plan. Their contract would be marked as complete, and would not complete a Smart enrollment. The payers who marked yes would follow the path we currently have to be enrolled in Smart and the SSO would connect as normal.

    The current process that Tuition Management with integrated contracts to automatically create the parent TM account and assign a secondary authorized user is not equitable to our split-household families and is an area of bad parent relations.


    For a child of two married parents, the automatic creation of any other parents with a responsible signer functions well. It doesn't for split-households where the process creates an account with a secondary user as the x-spouse.


    Having the system automatically create an account with two x-spouses together on the same account is a data security problem. It allows the two divorced parents to see and edit the personal and financial information.


    To adjust for the incorrect automatic secondary user, we have had to uncheck the Responsible Signer in Enrollment Management for one of the households. We are already seeing negative feedback from our split-household parents where both households should truly see the contract. In some cases, both are to sign based on their custodial agreement.


    When a parent signs the contract, the secondary authorized user should be that parent/user's spouse provided that the Responsible Signer is checked. It should not go down to the child to grab other parents who do not have a direct relationship with the parent signing the contract.
