Find a way to connect School Forms to onBoard for the checklist items
Find a way to connect School Forms to On Board for the checklist items. Currently we have to create Google forms or attach PDFs to be downloaded. It would be great to create School Forms in On Board that could be linked to the Checklists.
Because of the fact that this idea is part of the regular Admissions checklist, if any school wanted to get more granular as far as what forms a given family needed to complete, all checklist steps tied to School forms would have to be made optional. As a result, to verify all required steps have been completed we would have to create a number of Advanced Lists which are then tied to distribution groups. While certainly doable, this isn't ideal.
This work could be avoided if instead we had the ability to assign checklists to roles other than candidates for the purpose of completing required forms per this idea: https://blackbaudk12.ideas.aha.io/ideas/K12CO-I-1456
Thanks Sarah! So just to confirm. We can still name our forms for the school year, for example, Authorized Pick-Up 2019-20 and everyone that completes these forms, would still have the form linked to their checklist, if in next year, we change the checklist to the new Authorized Pick 2020-21 and select for future entering years to be updated?
Hi Ami, we implemented this idea as described. What you are describing sounds great and should be it's own idea, please feel free to enter it as we are constantly going into the idea bank when we look to make improvements.
Hello! No note really. This option is available under checklist. Yes, I
agree it would be helpful in CORE for current family, but for new candidate
the checklist addition of school forms is great, but you didn't allow the
option of "Allow Request" and "Allow Upload", which you have it available
under checklist under different category. What I am saying is that this two
things are needed for the school form checklist category you just added and
without this its incomplete checklist item.

1. The checklist step due date, does not impact the due date of the school form.
2. Checklist steps can be edited in place, meaning, when you're ready to swap out the old school form with the new school form, you can do so, and you will be prompted as to whether you want this change to impact all users or just future entering years. So no cloning of checklists required.
If I'm following correctly, you certainly can add them to your checklist, the family will still also see the school forms in the files and forms section of their profile, so the process hasn't really changed. Making them required steps only removes your ability to waive the checklist step, so it's up to you whether you make it required or optional. The process in terms of making sure your family completes them hasn't changed, they still function as "regular" school forms, it just gives you the ability to communicate about them via the checklist and to keep track of them via checklist step reporting, with the added benefit that they'll be marked as complete when the family is done. Just got off the phone with support, and have some questions about implementation.
So we can now assign a form to a checklist step. How does the checklist due date affect the due date of the school form?
If a form is tied to a checklist step, what happens during subsequent years when a new form and/or updated due date needs to be added?
Does this mean for every subsequent year we need to clone and create a new checklist?
At a fundamental level, I'm trying to figure out if we currently have checklists divided into those who are domestic students and those who are international, if for the purposes of completing all the required forms after they've reached the "Enrolled" milestone, how could we ensure any necessary additional forms are completed, if for example there is an additional form for those who are receiving financial aid to complete.
The challenge as I see it is that we could assign these forms as optional steps such that we could use our existing checklists, but then we would have no way to ensure that families completed all the forms that applied to them.
HI Naika, the description of this idea is actually different from what you're describing. What you're describing sounds like it wouldn't really need a checklist and would be more helpful to students and families in Core. I would encourage you to please put your idea into the forum so that it can gather it's own votes. I apologize if this wasn't want you were looking for.
what is the point of this implementation when they are not able to sent to
others or upload it back to us? The parents or doctors office should be
able to upload the file back to us. I know you have this ability under
miscellaneous file type, so why not under school forms.

What is the point of this checklist step when you didn't implement the main point of this idea. It should have the option to "Allow Request" and it should have the option of "Allow Uploads" similar to miscellaneous file of the checklist. The main idea is to have them send the school form to the parents or doctors and for the other person or the parent to be able to upload that back to us via the checklist. I would happy if we have this in the school form tabs of CORE or school website. It doesn't have to be in the checklist item. That way this option can be used when we send out annual school forms. I say this is simply a waste of them when the parent is unable to upload the filled form back to us. This doesn't help much. It's bandage not a fix. If they can add the two features to the school forms than that's a true solution the problems we all are experiencing.

If you attach it to a step, parents will see the form they need to fill out, when they click on it, it will automatically assign the form and when it has been completed, the checklist step will automatically be marked as completed. You will be able to see the form from the checklist step as well.
