We regularly have students who either withdraw from an academic course partway through the semester or earn a grade of PASS for various reasons. Currently the only way to have these show on the transcript is to add the course as a Transfer Grade with no Grade Plan attached so that an alternate grade can be typed in. This is an inconvenience for semester-long courses, and actually doesn’t work for yearlong courses if the student gets a grade one semester and has a WD the other semester. This necessitates the course being listed twice on the transcript, once for the letter grade (with Grade Plan attached so it will calculate in the GPA) and once for the WD (as a transfer grade). Additionally, transfer grades are listed in a separate column so I end up with a student who has two Semester 1 columns on the transcript if they have a PASS or WD grade to include. This is a lot of work to go in and fix by hand after exporting transcripts.
For various reasons, we routinely have students who are graded on a Pass/Fail basis instead of the number grade that their classmates are receiving in the same course. We often offer pass/fail as a grading option for our newly arrived international students who are still learning English. We also use it when students arrive partway through a term, or when students miss an extended period of time due to illness or injury and are not expected to make up all of the course work. Our previous SIS allowed us to offer P/F and number grades for different students in the same course section. Having to add an entirely new course with an entirely new grade plan just so a student can receive a grade of Pass instead of a number is not a reasonable work-around.
