We sometimes want to add notes or discipline to a student record after they have graduated or withdrawn. It would be super helpful to be able to add Official Notes for past students/alumni to record important information/awards/accolades, or to be able to add Infractions for students who have already withdrawn/been dismissed (in order to add the official discipline action to their record without re-enrolling and then re-withdrawing them). We don't always have the final discipline report ready when we want to withdraw a student, and this would allow us to add documentation after the student is withdrawn.
This is important as withdrawn/past student are technically inactive candidates. We need a way to continue marketing or communicating, especially for schools who have multiple programs that a child can enroll in.
Agreed-we need this!
Our registrars use official notes to document when transcripts were requested, sent out, and where they were sent. We lose the ability to track this way once a student withdraws or graduates, and we commonly need to send out transcripts for alumni and past students. This is a very basic feature that needs to be made available. The limitation really doesn't make sense in the first place.
Using official notes as internal notes for withdrawn candidates would be very helpful for the admissions office.
Similar to other comments, we use official notes for advisor's end of year comments to families. These also get emailed, but it would be nice for past parents to be able to view these later. Particularly, because we roll our year over fairly soon after the end of school, our seniors and their parents lose access to these quickly.
We need to promote seniors at end of year so systems tied to ours no longer see as active post graduation. However advisors need to do one final End of Year note and cannot do if recent alumnus and not active student. Having the ability to include students withdrawn or graduated within past year would be awesome.
This would help the retention and admissions team at our school.
