There should be a category for administrators to share information about a student (or a parent) with each other, that does not go out to the entire staff. For example, if there is a family situation such as a divorce or death, or a conflict with a staff member or fellow student, or even just information about that student's interests, administrators should be able to share with one another useful information to make us better informed and more sensitive. Email is fine, but hard to search, and not preserved when staff turn over. Staff would need to be reminded that any school records might be discoverable in a legal suit.
