School Forms: Better management for past/expired forms

I would like for School Forms to be sub-categorized by school year. This way if a student has all of their current and previous school forms in the system, a parent can choose which year they would like to view. I would imagine that after being in the school for 8 years and possibly having multiple children in the school, the view is going to get crowded if all the school forms are shown in one view. I would like some way for the school forms to be better organized so that the view is not as clogged.

I'd also like to be able to delete school forms.

I expect the Publish Date Range to determine whether a parent sees it on their forms list. Maybe past forms could go in an archive that doesn't get cluttered with all the current forms that need action.

Forms that need action should stand out at the top.

Administrators need better control of how past forms are viewed as well.

    Admin response

Hi Everyone, I wanted to make sure that you saw the recent changes that we made for the parent view of files and forms. Now when users go to view their forms, they only see the forms they have that still need to be completed (by default), and they can check a box to show completed forms if need be. We're still hoping to do more in the future, but this should help for a much more streamlined view.

This does not help the administrators. What is planned to help management at our side? I see Contracts have introduced an archive function. Is that an option for forms?

This needs to be a high priority item. I agree and empathize with all the points made in Laryssa Tyson's initial idea submission.

I'm not sure if this "workaround" has already been posted, but one thing I've done this year is to put an asterisk at the start of any of the new forms or contracts. Since forms are listed alphabetically, this pushes the new forms to the top of the list. It's definitely not a solution, but hopefully it makes things a bit better until a fix is put in place.

Hi Everyone, this is still a work in progress that will likely not be available in the near future. We've had a number of other initiatives that we've had to make sure were on the right track and would be released at the right time so we didn't miss our window of opportunity. When we know more about a timeline we'll come back to update.

    thank you for your patience!

Any word on this update? We are getting ready to release 18-19 school forms in March.

I would very much like to get rid of previous year information EXCEPT contracts.  There is no need to have 5 years worth of emergency forms on the portal.

Hi, Jackie, thanks for the survey! My administration was wondering if we could get the results that would come from our school as well as the general results of the survey.

If not, would it be ok for us to give our parents are own survey, patterned generally after your survey, and send you our results?

    Hi Jackie,

I just looked at this form and the third question should be a* radio button
and not a checkbox*. People can select more than one answer and should not
    be able to.

I think your focus is on the wrong side of the experience. Let US decide what parents see. We know what our parents are used to and what trips them up. All of these features are nice, but I want to have control of form visibility and organization.

On top of that, the actual forms need an overhaul. We still can't use the medical form for various reasons.

A "guest comment" below mentioned the exact thing we're about to run into.  We will assign parent forms for the 2nd year in a row (7 forms each year) and I will prepare our staff for MANY parents to have problems because they're going to think they already submitted it.  But we will need them to fill out the NEW forms this year.  This is so unfortunate.  We were hoping to have 100% completion but based on all of the comments below and realizing that the forms from last year are still visible, I know we'll have problems.

Let's be honest, do you think the parents actually read what we tell them?  (ie - open forms that say 2017-18)  Ha!  This needs to be SUPER USER FRIENDLY.  Only current, assigned forms should be visible.  Period.  Other forms can be found in drop downs, other screens, etc but not in the same place.  We'll get ready for havoc when the forms are assigned on Friday.

I will share this news with my staff and prepare for a backlash.

    Ouch.

    PLEASE PLEASE PLEASE fix this.
It is NOT user friendly for the parents at all!!
This worries me greatly that this request has still been here for almost 2 years.

I'm not sure how much I trust these idea requests.......  :(
