Even though the actual checklist step for completing the application is at the end of a candidates checklist and hidden from them until they arrive at that step, Blackbaud has now added an application section ABOVE a candidates checklist, encouraging parents to apply regardless of how we organized the steps. There is no way to delete this section or hide it from parents. Attached image to show what parents of candidates see when they first log in.
The only advice offered by Blackbaud is to not allow parents the rights to log in until we're at the application step. But since this step is our last admissions step, not allowing parents access to log in until the end would make the entire Enrollment Management System useless for us.
Will the option to remove this Application section be implemented? We also have steps that are needed to be completed prior to submitting an application and having this button show up for every checklist (whether for the coming school year or 2 years down the line) is not helpful. We had someone apply who isn't eligible to today and now we have to have our Business Office submit a refund for their application fee and also field questions for confused parents who think having that button means they can in fact apply. PLEASE REMOVE THIS FEATURE as it doesn't apply to everyone who submits an inquiry.
Hi there, we're working on this now and hoping for a fix to go out next week on Tuesday morning. I'll keep you posted as we know more.
Thank you,
Sarah
We are having the same issue. Once an Inquiry is processed (must assign a Checklist), the Application section appears at the top above the Checklist. This is allowing parents to access the application prior to completing required steps we have laid out in the Checklist (ie. tour the school, etc.). The two sections seem to be completely separate. We want parents to complete certain items on the Checklist prior to completing the application.
Thank you, Sarah. Is there any timeline for getting this resolved? This issue has made the product unusable for us which is very concerning considering our admissions process relies on the system.
Hi there, thanks for the additional information, I checked in with support, they're actively working on your case as this does appear to be a bug. I'm going to keep an eye on the case and we'll work on getting a fix in for you.
Thank you,
Sarah
Hi Sarah,
No, parents are not creating accounts before we assign them a checklist. They fill out an inquiry form. We then process the form and as we process the form, we create a username and account for them, including assigning a checklist. Only then do we send them instructions on how to sign in.
I am also impersonating a parent of candidate at my school and the application step is still appearing at the top, above the checklist. I've included a screenshot for you to see.
Please advise as this is making the product unuseable for us and the only advice I've received from support has been that this shouldn't be happening but yet it continues to.
Hi there, we haven't made any changes to the application experience. Are your parents creating accounts before you assign them a checklist? That would give them "only" the ability to see the application and nothing else. If that is the case, support was correct, until they have a checklist assigned to them, they will only see the application step because typically, schools use the create your own account option to give parents immediate access to apply and then assign the checklist when they're ready.
I'm impersonating a parent of candidate at your school who has a checklist assigned to them and the application step appears toward the bottom of your checklist with no separate section.
As support probably mentioned, you can turn off the create your own account option and use inquiries only that way you'll be able to assign a checklist and send an invitation to login when you're ready.
Thank you,
Sarah Bienvenue
Interesting- I'm not seeing that in our test case. I wonder if this is something they're slowly rolling out.
We are a small special education school. We require lots of documentation, interviews, and evaluations before any candidate is invited to complete an application. With this recent change, parents logging in for the first time are seeing the application before they complete any of the checklist steps.
Why would we set up the checklist and specificially choose when we want a parent of a candidate to see the application for it to now be something that is universally at the top of every candidates checklist?
